This is the privacy notice of RunUltra Endurance Ltd. In this document, "we", "our", or "us" or “RunUltra” refer to RunUltra Endurance Ltd., company number 10974909, registered in the United Kingdom.

Our registered office is at Nower End, Nower Road, Dorking, Surrey, RH4 3BX, United Kingdom. 

This privacy policy sets out how "RunUltra Endurance Ltd" uses and protects any information that you give RunUltra Endurance Ltd and RunUltra Ltd when you use this website.

RunUltra is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using this website, then you can be assured that it will only be used in accordance with this privacy statement.

1. Introduction

  1. This is a notice to inform you of our policy about all information that we record about you. It sets out the conditions under which we may process any information that we collect from you, or that you provide to us. It covers information that could identify you (“personal information”) and information that could not. In the context of the law and this notice, “process” means collect, store, transfer, use or otherwise act on information.
  2. We regret that if there are one or more points below with which you are not happy, your only recourse is to leave our website immediately.

Keeping your data secure and maintaining your privacy is a significant responsibility and one that we take very seriously. We’ve written this policy to help you understand “what” personal information we collect, “how” we process it, “where” it is stored and how you can access or request deletion of your personal data.

By accessing, logging into or registering on the RunUltra website (or any of its sub-domains), you agree that it’s okay for us to process your information and personal data in accordance with the terms of this Privacy Policy.

If you disagree with any of the terms in this policy, or wish to be no longer bound by these term, we kindly ask that you cease from entering information into the RunUltra website and cancel your membership.

We comply with current UK Data Protection Legislation which implements the European Community’s Directive 95/46/EC and Directive 2002/58/EC, including, but not limited to, the DPA and the Privacy and Electronic Communications (EC Directive) Regulations 2003.

From 25th May 2018 this will incorporate Regulation (EU) 2016/679 on the protection of natural persons with regard to the processing of Personal Data and on the free movement of such data (“GDPR”).

2. Information you provide

This includes the Personal Data you provide when completing any of the following activities:

  • Registering a new RunUltra account
  • Submitting information or uploading data within a RunUltra or Forum account
  • Subscribing to a mailing list
  • Ordering a standalone product or service
  • Initiating a support request or submitting information on our “contact us” or enquiry forms
  • Completing an online survey or questionnaire

The information may include the following types of direct or indirect Personal Data:

  • Your name and job title
  • Your contact information (e.g. phone, email, address etc. where provided) or a social media ID
  • Personal Data contained within uploaded files

3. Information we collect

Here is the information we may collect and how it is used:

  • Demographic information - Country of residence, preferences and interests to tailor offers to you.
  • Other information on your running preferences, relevant to customer surveys and/or offers.
  • Login dates and IP addresses - This allows us to understand how you are using RunUltra and identify unusual access patterns.
  • Account usage statistics - This includes things like how much time you spend on the website and which features you use. This helps us to optimise your user experience and make you aware of specific features that may be of interest to you.
  • Website traffic - This includes general information on how you found our website, which referring site you arrived from (e.g. Google, Facebook etc.), and what device or browser you are using. This helps us to improve our marketing strategies and tailor our website for different devices.
  • Order history - This information includes a record of any orders you place. This helps us to fulfil our obligations to you. 
  • Email opens and bounces - We track when the emails we send are opened or bounced and country of receipt. This allows us to optimise our mailing list by delisting addresses that are inactive or unresponsive and to better understand the location of our global audience.

Information provided to us by third-parties
In some cases, we may receive Personal Data that has been passed to us by a third-party such as a payment processor or bank if you are paying for an advert on the RunUltra website. This information is only received when you explicitly consent to share your information with us.

In this section we explain how your Personal Data is used by RunUltra.

5.1 To provide a service

First and foremost, your Personal Data will be used to provide you with a stable and reliable service. We will use your Personal Data to provide you access to the RunUltra service and from time to time to contact you by email, post, phone or social media concerning your account or any related matters that may be of interest to you.

You may choose to share your Personal Data (e.g. user name) on the RunUltra website with other users. Your data will only be shared with your consent.

5.2 To improve our service

We will use your Personal Data to improve our service to you. This can be through administering support, tracking feature usage, collaborating on beta development or resolving bugs. 

From time to time, we may also use your information to contact you for market research purposes. We may contact you by email, phone, or mail. We may use the information to customise the website according to your interests and to improve its usability.

5.3 To monitor trends

We may contact you by telephone if you have provided a telephone number on your enquiry form or in your communications with RunUltra, or by social media if you have sent us a message via social media.

6. How we use cookies

A cookie is a small file which asks permission to be placed on your computer's hard drive. Once you agree, the file is added and the cookie helps to analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.

This helps us analyse data about webpage traffic and improve our website in order to tailor it to customer needs.  Overall, cookies help us provide you with a better website, by enabling us to monitor which pages you find useful and which you do not. Re-marketing involves placing a cookie on your computer when you browse our website in order to be able to serve to you an advert for our products or services when you visit some other website.

We may use a third party to provide us with re-marketing services from time to time. If so, then if you have consented to our use of cookies, you may see advertisements for our products and services on other websites.

8. Accessing your data

You can view your personal profile (if you are a member) by logging in and going to the “My profile” area of the Runultra website.

9. We don’t store credit or debit card details

We use a third-party payment processor (Stripe) to collect credit and debit card payments for any paid services. We never directly collect or store payment card information on our servers.

Our payment processor uses a secure encrypted connection for collecting payment card information and implements all necessary controls to keep your payment data safe.

10. Sale of business assets

We reserve the right to share Personal Data with a prospective buyer of business assets. This would be subject to the terms of a Non-Disclosure Agreement.

11. Law enforcement disclosures

We reserve the right to share Personal Data with law enforcement agencies, if the restriction of such information may prejudice an investigation into unlawful activity. Such exemptions will be sought under current Data Protection Legislation and RunUltra will have no legal liability for such disclosures.

12. Keeping your data secure

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

We recognise the responsibility to ensure that your data is kept safe and secure at all times.

12.1 Encryption of data sent between us

We will ensure that whenever your Personal Data is passed to and from our website server, that it is done so on a secure, encrypted connection.

We use Secure Sockets Layer (SSL) certificates to verify our identity to your browser and to encrypt any data you give us.

Whenever information is transferred between us, you can check that it is done so using SSL by looking for a closed padlock symbol or other trust mark in your browser’s URL bar or toolbar.

13. Your rights

  • Right to Unsubscribe

You have the right to unsubscribe from any email newsletters that we may send from time to time as part of your membership service – you can do this at any time by using the unsubscribe link at the bottom of the newsletter.  

  • Right to Erasure 

You have the right to request that your Personal Data is deleted (notwithstanding those exemptions allowed under GDPR and the current UK DPA). You will be able to request removal of all applicable Personal Data. 

If you wish us to remove personally identifiable information from our website, you may contact us at admin@runultra.co.uk. This may limit the service we can provide to you.

  • Right to Rectification

You have the right to request that any incorrect Personal Data we hold about you is corrected, if that information is inaccurate or incomplete. If you are unable to make the necessary rectification from within your member account please contact us at info@runultra.co.uk. We will promptly correct any information found to be incorrect. 

  • Verification of your information

When we receive any request to access, edit or delete personal identifiable information we shall first take reasonable steps to verify your identity before granting you access or otherwise taking any action. This is important to safeguard your information.

From May 25th 2018, under the provisions of Article 17 of the GDPR Legislation, you also have the right to request that any Personal Data (Notwithstanding those exemptions listed under Article 17, Paragraph 3) be permanently deleted. Upon receipt of such a request we will take all reasonable steps to ensure that this is completed in an expeditious manner.

  • Right to Data Portability 

You have the right to request an export of your Personal Data we hold about you. Please contact us at info@runultra.co.uk (from the email account you have registered with) to request a copy.

14. Third party advertising on our website

Third parties may advertise on our website. In doing so, those parties, their agents or other companies working for them may use technology that automatically collects information about you when their advertisement is displayed on our website.

They may also use other technology such as cookies or JavaScript to personalise the content of, and to measure the performance of their adverts.

We do not have control over these technologies or the data that these parties obtain. Accordingly, this privacy notice does not cover the information practices of these third parties.

15. Links to other websites

Our website may contain links to other websites of interest. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. Please note that we do not accept any responsibility for any data you share via links to other 3rd party websites and we recommend that you read the third party privacy policy carefully.

16. Information we obtain from third parties

Although we do not disclose your personal information to any third party, we sometimes receive data that is indirectly made up from your personal information from third parties whose services we use. No such information is personally identifiable to you.

17. Controlling your personal information

We will not sell, distribute or lease your personal information to any other third parties unless we have your permission or are required by law to do so. 

18. Data may be processed outside the European Union

Our website is hosted in the United Kingdom.

We may also use outsourced services in countries outside the European Union in other aspects of our business (i.e. managing our email communications with you).

Accordingly, data obtained within the UK or any other country could be processed outside the European Union. For example, some of the software our website uses may have been developed in the United States of America or in Australia.

We use the following safeguards with respect to data transferred outside the European Union: the data protection clauses in our contracts with data processors (e.g. our email server provider) includes transfer clauses written by or approved by a supervisory authority in the European Union.

19. Retention period for personal data

Except as otherwise mentioned in this privacy notice, we keep your personal information only for as long as required by us:

  • to provide you with the services you have requested;
  • to comply with other law, including for the period demanded by our tax authorities;
  • to support a claim or defence in court.

Use of site by children
We do not sell products or provide services for purchase by children, nor do we market to children.

If you are under 18, you may use our website only with consent from a parent or guardian.

We may from time to time make edits to this Privacy Policy.
